What Online Resources does CCC provide students?

Technology at City Colleges of Chicago

CCC recognizes the importance of technology as a means of increasing both student engagement and access to instructional resources and as a way of allowing both students and faculty to leverage the efficiencies afforded by online tools and automated processes. CCC makes the following resources available to students:

A free email account
Up to five free copies of Microsoft Office
24 x 7 access to Brightspace for classroom announcements, course assignments, and other instructional resources. for classroom announcements, course assignments, and other instructional resources.
Use of computer labs throughout the district
A computer discount purchase program
The ability to borrow a laptop or “hot spot” through the free loaner laptop program
Smart Classrooms and high-speed internet at every college.
Students may connect their personal devices to our CCCFREE wireless network within any CCC building

Tutoring and Academic Advising Services

Both tutoring and advising services are available for all City Colleges of Chicago students. You can make an appointment with either a tutor or advisor through Navigate. Walk-in hours are also available.

Visit Tutoring Services for information on tutoring locations, times, subject areas and tutor availability.

Students should see their advisors at least once per semester, and anytime they have a question or concern about their academic progress or future plans.

My.CCC.EDU

My.ccc.edu is CCC’s online portal for students, faculty, and staff. The portal provides single sign-on to Outlook email, is CCC’s online portal. The portal provides single sign-on to Outlook email, Brightspace, remote library access, Navigate, and Campus Solutions.

Students

- General course schedules and catalog descriptions
- Mid-term and Final grades
- Financial aid status and balance
- Personalized schedules
- Academic history or unofficial transcript
- Class status-enrolled, dropped, withdrawn, or deleted
- Plus enroll in or drop a class.

Navigate

Navigate will provide a personalized Care Team to each student made up of an advisor, faculty, and other specifically assigned staff from the Transfer Center Financial Aid Office, Career Services, and Student Activities – making it easier to know exactly where to go for help when needed.

Navigate replaces GradesFirst. It is a communication and retention tool which facilitates the identification of students who may be at-risk academically and the coordination of student services to assist these students.

Zoom

Zoom web conferencing software is available to all CCC student, faculty, and staff. Zoom features include:

Ability to record meetings
Ability to share your screen

Advanced features like break-out rooms, a collaborative white board, and real-time polling

One Drive

A cloud storage, file hosting service that allows users to sync files and later access them from a web browser or mobile device.

Office Applications

	A graphical word processing program that allow the users to type and save documents. Similar to other word processors, it has helpful tools to make documents.
	A spreadsheet application with features to perform calculation, graphing tools, pivot tables, and a macro programming language called Visual Basic for Applications.
	A slide show presentation program that allows users to create an electronic presentation. The features include graphics, special effects, video and kiosk films, and voice recording.
	A computer program for free-form information gathering and multi-user collaboration. It gathers users’ notes (handwritten or typed), drawings, screen clippings and audio commentaries.
	A cloud storage, file hosting service that allows users to sync files and later access them from a web browser or mobile device.
	A collaboration hub for teamwork. It connects: chat and threaded conversations, meetings & video conferencing, calling, content collaboration with the power of Microsoft 365 applications.

Office Delve:
Delve focus on the Office 365 information that is interesting to you. It remembers the title of documents and where you have stored recent documents.

Office Video:
Video is an Intranet website that allows people to post and view videos in CCC environment. It is a great place to share CCC related information such as presentations, training sessions, and meetings.

OneNote Class Notebook allows you to set up OneNote for your class. Teachers can create three type of sub-notebooks: Student Notebooks, Content Library, and Collaboration Space.

How do I proctor a remote online exam with Respondus?

Respondus Lockdown Browser and Monitor are now available in all Brightspace courses as optional settings when creating online assessments.

What is Respondus?

Respondus is an assessment tool company specializing in online remote exam g security. Respondus Monitor is a ‘proctored remote exam’ whereas LockDown Browser locks the testing environment.

Please note These products are not yet supported for students using Chromebooks. Respondus is looking to add support for Chromebooks this fall but no firm date has been given.

Respondus LockDown Browser®

is a custom browser that locks down the testing environment within Brightspace. When students use Respondus LockDown Browser (LDB) they are unable to print, copy, go to another URL, or access other applications. When an assessment is started, students are locked out of these functions until they submit their exam for grading. It is based on the same system components and settings that make up Internet Explorer (Windows) and Safari (Mac) browsers already installed on computers. Respondus LockDown Browser is both Windows and Macintosh compatible.

When enabled for a quiz, the student receives a prompt to download the Respondus LockDown Browser application and install it before they can access the quiz. When the student begins taking the quiz, the student is locked into the quiz until it is submitted for grading.

LockDown Browser Resources

Respondus Monitor ®

builds upon the power of LockDown Browser, using a student’s webcam and industry-leading video analytics to detect & deter cheating during non-proctored exams. When this feature is enabled for a quiz, students are required to use a webcam and microphone with LockDown Browser. After the quiz is complete, an instructor can review details of the assessment, even the recorded videos. Requiring the use of Respondus Monitor is useful when giving remote exams without a live proctor.

Monitor Resoureces

Instructors can choose to use Respondus LockDown Browser with or without Respondus Monitor feature enabled when choosing their LDB testing settings in their Brightspace course.

Instructors do not have to download and install the LockDown Browser software, only students need this installed. For faculty, they simply use the LockDown Browser tool integrated into Brightspace to set up their proctored exam settings and follow the on-screen instructions in Brightspace.

Respondus LockDown Browser prevents the student from:

Opening additional browser windows

Using other browsers

Accessing other websites

Opening additional applications or files

Using a printer

Using with Brightspace

In your Brightspace course->Assessment->Quizzes, select the Lockdown Browser tab

Note You will have to accept "Application Respondus v4.0 by Respondus Inc is trying to access your information." to Continue.

In the context menu next to your selected quiz, choose Settings.

Testing your Test in Brightspace

In your Brightspace course->Assessment->Quizzes-> select the Lockdown quiz ->select Preview from the context menu->uncheck Bypass Restrictions

Recommendations

Inform students to use an Ethernet (wired) Internet connection while taking an exam in Respondus Lockdown Browser. They are more likely to run into problems due to dropped/interrupted WiFi connections than when using a wired connection. If they do lose their Internet connection during the exam, it will lock up the browser and not allow them to save answers, move on to other questions, submit or exit the exam.
Create a non-graded, practice exam that requires students to use LockDown Browser. This will familiarize students with the application and ensure everything is installed correctly before beginning a graded exam.

Students

When students access the quiz, they will be prompted to Launch Lockdown Browser.

Tips

This sample text below can be used in your course or syllabus. It explains that students must use LockDown Browser for their online tests as well as the need for a webcam if enabling Respondus Monitor.
- Sample Text to Provide Students for Using LockDown Browser(LDB) for Online Exams:
  This course requires the use of LockDown Browser (LDB) for online exams. Watch this short video to get a basic understanding of LockDown Browser and the webcam feature (which may be required for some exams). Students may contact Respondus LockDown Browser Support for technical assistance if needed and/or access this 1-page “Student Quick Start Guide”.
  1. First, download and install the LockDown Browser software
  *You may watch this video tutorial on “How do I install LockDown Browser” if needed.
  2. To take an online test, start LockDown Browser software installed on your computer. Once the LDB browser has been started, you will be prompted to login to Brightspace through the LDB browser and navigate to your desired course and desired exam. (You won’t be able to access a LDB required exam with a standard web browser.) For additional details on using LockDown Browser, review this Student Quick Start Guide (PDF).
  *Be sure you are not connected to a Virtual Private Network (VPN) as the LockDown Browser wiill NOT work through a VPN.
  3. Finally, when taking an online exam, follow these guidelines:
  - Select a location where you won’t be interrupted
  - Before starting the test, know how much time is available for it and be sure that you’ve allotted sufficient time to complete it
  - Turn off all mobile devices, phones, etc. and don’t have them within reach
  - Clear your area of all external materials — books, papers, other computers, or other devices.
  - Remain at your desk or workstation for the duration of the test
  - LockDown Browser will prevent you from accessing other websites or applications.
  - Depending on the settings selected by your instructor, you may not be able to exit the test until all questions are completed and submitted.

Caveats

Traditional timed, proctored exams are possible remotely using the tools available in Brightspace with Respondus LockDown Browser & Respondus Monitor. Before committing to remote proctored exams, below are some considerations:

Access to technology
Privacy
Accommodations

However, proctored remote exams have several drawbacks:

They are often even more stressful for students than in-person proctored exams, which can negatively impact student performance.
They require substantial planning and setup on the part of the instructor and the student, and may generate many “false positive” flags that must be reviewed by an instructor after the exam.
Not all students have access to the appropriate technology to use services like Respondus Monitor that requires a webcam; instructors will have to make accommodations for such students.
The technical infrastructure of services like Respondus LockDown Browser & Monitor has not been utilized at this scale before, so planning must include what to do if the proctoring service crashes during the exam.
Students may have privacy concerns about third-party recorded remote proctoring. Unlike when students agree to the use of such systems when they register for online courses, students did not agree to remote instruction when they registered for spring 2020 and instructors will need to make accommodations for these students.
LockDown Browser features do not address all access needs for students with approved accommodations. If faculty intend to use Respondus LockDown Browser (with or without Monitor), they should consult Disability Access Center for those students who have identified themselves to faculty for accommodations. That way, students can avert any accusations of cheating that may be due to use of approved assistive technology or accessibility issues.

For these reasons, during this time we recommend using alternatives to timed, proctored exams wherever possible. Large courses reliant on in-person exams should consider open-book exams or frequent low-stakes assessments as alternative assessment strategies that are relatively easy to grade.

Please note that in normal circumstance students should be made aware of need for a webcam BEFORE course begins as part of their required course materials if requiring the use of Respondus Monitor. In this current continuity of instruction period, instructors and departments should manage and communicate student webcam needs on an individual basis. Not all students have access to the appropriate technology to use services like Respondus Monitor that requires a webcam; instructors will have to make accommodations for such students.

Respondus Monitor (LockDown Browser +Webcam) is NOT a live synchronous proctoring service. Students are recorded while taking the exam and instructors are alerted after the recoding is complete to any red flags that may have occurred during the testing sessions. Instructors will be able click on thumbnail recordings to review footage of flagged portions of students recorded testing sessions for review.
For a synchronous live recording of a testing session, instructors could use Zoom to schedule a Zoom session for the test time for students to join at the same time and monitor students in gallery view while taking the test. If students are unable to meet synchronously, accommodations would need to be made.

How do I submit a quiz attempt on behalf of my student?

You can go in and submit this quiz on your student’s behalf (Brightspace has a feature for this exact purpose). Below are step by step instructions:

Go to Assessments-> Quizzes .
Click the drop down arrow next to your selected Quiz and choose Grade

This will show your whole class. You may wish to filter you class list.

Optional

Click Show Search Options to access the menu shown here.
In the Restrict to dropdown menu, select “Users with attempts in progress”.
Click on the search icon (magnifier glass in the “Search For” field).
Apply.

At the student’s quiz attempt:

Click on the Enter Quiz as User icon.
In the confirmation window, select Yes.

Scroll all the way to the bottom of the page, and click Submit quiz.

How do I add Video Note through the HTML Editor

Go to the HTML Editor
Click Insert Stuff when the text editor window opens (see Figure 1, red circle)

Select Video Note (see Figure 1 in the dropdown selections).
Click Record Webcam Video and then New Recording.
Click Stop Recording when you are finished.
Click Next.
Type in a Title and Description
Click Insert to insert the video in the topic.
Click Save

You can use Video Note anywhere there is an html editor—announcements, feedback, etc.

are able to attach Video Notes through the HTML Editor

When adding a new thread to a discussion, Insert Stuff through the HTML Editor.

How do I create and insert a Video Note in the HTML Editor?

As an instructor, you are able to add Video Note within your course content areas through the HTML Editor.

Create and insert a video note in HTML Editor

In the HTML Editor, click Insert Stuff (the arrow icon in the first position)
Click Video Note.

Choose either to Record Webcam Video or Upload File.

If you select Record Webcam Video, follow the prompts.

Note You will need to allow Brightspace to access your microphone and camera.

Note You may wish to Automatically generate captions from here.

If you select Upload File, do the following:

1. Click Choose File and select the locally saved file you want to upload.
  - Note: You can only upload MP4, FLV, F4V, or MOV files that are less than 5.00 MB in size.
2. Click Next, and enter a title and description.
3. Click Next, and then Insert.

How do I reuse a Video Note?

Use Video Note Search via Insert Stuff

If you want the same video in a different place, do this:

1. Go to the Content topic/module or discussion topic–anywhere there is the html text editor, in fact.

2. Click Insert Stuff and look for Search Video Note

3. Put in the title of the video and click Search

4. Click on the video once you have found it.

5. Voila!

How do I control notifications?

Sometimes you may feel as though you are getting spammed by Brightspace notifications (cell/email and Alerts through bell icon under Minibar) and missing the important alerts. You may wish to control (e.g. stop) the notification coming to your email/Cell.

Note The Alerts within the mini bar are system generated, there isn’t a way to disable it or edit the notifications. After 7 days they will disappear.

Go to Your Name (top right) > Notifications

Once in notifications, select what notifications you want to receive and the method you would like to receive them

Scroll down to “Exclude some courses” and click on “Manage my course exclusions“

A window will pop up with a list of your courses, you can exclude all the courses you do not want to get notifications from by clicking on the x next to the course.

How do students view TurnItIn’s Grademark feedback?

Students will go to the assignment tool (Assessments–>Assignments)

Locate the assignment.

Follow feedback links.

How can I get the grades of one student in a format that I can share?

From Classlist, click on the Dropdown menu next to the student’s name and View progress

OR

From Grades, click on the graph next to the student’s name.

Both of these options take you to the student’s grade progress page where you can see all the scores for each assignment.

Alternatively, if you click on the student’s name from the gradebook, you will also see a similar view but with the ability to edit scores as well.

Note If the class has ended, you will need to “open” the course in order to see this “grades summary” page (via course offering information).
